Position Overview

We are seeking a reliable and experienced Admissions Assistant to support student recruitment and enrollment at our IB World School. This role is ideal for a highly organized and proactive professional who can be trusted to manage responsibilities independently while delivering a high standard of service to prospective families.
The successful candidate will have a strong understanding of international education, preferably the IB framework (PYP, MYP, DP), and at least three years of relevant experience. Native-level English proficiency is required, with at least an intermediate level of Japanese..

Key Responsibilities
  • Welcome and assist students, parents, staff, and visitors in a professional and courteous manner.
  • Manage incoming calls, emails, and general inquiries in both Japanese and English.
  • Maintain accurate visitor logs and ensure adherence to safeguarding and security procedures.
  • Support clear and effective communication between school
  • Serve as a primary point of contact for prospective families, providing timely and professional communication mainly in English and Japanese
  • Manage the full admissions process from inquiry to enrollment with accuracy and attention to detail on the Admissions platform and email.
  • Arrange and conduct school tours and effectively present the school’s mission, values, and IB programmes (PYP, MYP, DP)
  • Review and process applications, ensuring all required documents are complete
  • Coordinate in-class assessments, student interviews, and parent interviews in collaboration with relevant teams
  • Maintain accurate records in the admissions database and generate regular reports
  • Support the planning and execution of admissions events such as open house
  • Follow up with prospective families and nurture leads to support enrollment targets
  • Assist with re-enrollment and retention efforts as needed
  • Ensure compliance with school policies and local regulations
  • Work closely with the Marketing team to strengthen the school’s brand and support promotional activities.
  • Manage and process student withdrawal procedures in accordance with school policies
  • Other duties as assigned
Qualifications
  • Provide general administrative assistance to the leadership team and faculty as required.
  • Maintain records, files, and documentation in an organized and confidential manner.
  • Assist with scheduling appointments, meetings, and school events.
  • Support admissions-related inquiries and direct them
  • Native-level proficiency in English and intermediate proficiency in Japanese (both written and spoken)
  • Excellent interpersonal, communication, and presentation skills
  • High level of organization, accuracy, and attention to detail
  • Ability to work independently and manage multiple priorities effectively
  • Ability to perform well under pressure and meet deadlines
  • Strong administrative skills, with the ability to complete tasks with minimal supervision
  • High level of discretion and ability to maintain confidentiality at all times
  • Basic IT skills, including proficiency in Google Suite, Zoom, and database/CRM systems

Preferred Qualifications

  • Bachelor’s degree in Education, Business Administration, Communications, or a related field
  • Minimum of 3 years of experience in admissions, education, or a related field
  • Strong understanding of international education; IB experience is highly preferred
