Roles and Responsibilities

The Administrative Assistant & Receptionist serves as the first point of contact for the school and plays a vital role in ensuring a welcoming, professional, and efficient front office aligned with the values of Horizon Japan International School.

Key Responsibilities

1. Front Office Management and Communication
  • Welcome and assist students, parents, staff, and visitors in a professional and courteous manner.
  • Manage incoming calls, emails, and general inquiries in both Japanese and English.
  • Maintain accurate visitor logs and ensure adherence to safeguarding and security procedures.
  • Support clear and effective communication between school stakeholders.
2. Administrative Support
  • Provide general administrative assistance to the leadership team and faculty as required.
  • Maintain records, files, and documentation in an organized and confidential manner.
  • Assist with scheduling appointments, meetings, and school events.
  • Support admissions-related inquiries and direct them appropriately.
3. Coordination of Community Activities
  • Assist in the planning, coordination, and implementation of school community events and activities.
  • Liaise with parents, external partners, and internal teams to ensure smooth execution of events.
  • Support communication and logistics for community engagement initiatives aligned with IB values.
4. Support for Academic and Co-curricular Programs
  • Provide administrative and coordination support to the School Service Coordinator, Planning
  • Coordinator, and Extracurricular Activities Manager.
  • Assist in organizing schedules, facilities, and resources for service learning, planning activities, and extracurricular programs.
  • Help ensure effective communication and participation across these programs.
5. Language and Cultural Support
  • Serve as a bilingual point of contact (native Japanese and fluent English) to facilitate communication within the international school community.
  • Support translation and interpretation when necessary to ensure clarity and inclusivity.
6. Operational Support
  • Assist with daily school operations, including handling deliveries, correspondence, and basic office management tasks.
  • Ensure the reception area remains professional, organized, and welcoming at all times.
  • Contribute to a positive school atmosphere that reflects the mission and values of an IB World School.
