Position Overview

The Accounting Specialist plays a key role in supporting the financial operations of the school. This position is responsible for managing day-to-day accounting functions, including financial transactions, payments, and administrative processes, while ensuring accuracy, compliance, and efficiency.
The role requires a detail-oriented and highly organized individual who can work collaboratively with internal stakeholders to ensure financial transparency and effective operations.

Key Responsibilities
Accounting & Financial Operations
  • Maintain accurate financial records, including accounts payable and receivable.
  • Process invoices and payments in a timely manner.
  • Assist in payroll processing and related documentation.
Budgeting & Reporting
  • Ensure safe handling, storage, and disposal of chemicals.
  • Maintain accurate chemical inventory and storage systems.
  • Ensure proper labeling and safety documentation for all substances.
Equipment Maintenance
  • Maintain accurate financial records and documentation.
  • Prepare financial reports and summaries for management.
  • Track expenses and ensure alignment with budget allocations.
Accounting & Compliance
  • Ensure compliance with local financial regulations and school policies.
  • Maintain proper documentation and audit trails for all transactions.
  • Assist with internal and external audits as required.
Financial Administration
  • Manage financial data entry and reconciliation of accounts.
  • Maintain organized financial filing systems (digital and physical).
  • Coordinate with vendors, banks, and service providers as needed.
Support & Collaboration
  • Work closely with school leadership and departments on financial matters.
  • Support and manage contract-related administrative procedures.
  • Support general administrative tasks related to accounting.
  • Support continuous improvement of financial processes and systems.
Required and Preferred Qualifications
Qualifications
  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field preferred.
  • Japanese Bookkeeping Certification (簿記2級 / Boki Level 2) or equivalent preferred.
  • Relevant accounting or finance experience (school or nonprofit experience is an advantage).
Knowledge, Skills, and Attributes
  • Strong understanding of accounting principles and financial reporting.
  • Proficiency in accounting software, Google Sheets, Microsoft Excel.
  • Excellent organizational and time-management skills.
  • High level of accuracy, integrity, and attention to detail.
  • Ability to work independently and collaboratively.
  • Strong communication and problem-solving skills.
  • Professionalism and ability to handle confidential information.
